Diligence Room Handoff Checklist

A protected checklist for handing a diligence room to external reviewers in a controlled, role-based, auditable way.

Handoff principle

A diligence room is ready for handoff only when the reviewer knows what to review, what they may access, what is exportable, where questions are recorded, and how access is closed.

Diligence room handoff checklist

1. Review purpose confirmed

Reviewer organisation, role, review type, programme scope, and responsible Terra Vita contact are recorded.

2. Access scope defined

Permissions matrix identifies permitted surfaces, prohibited areas, personal-data boundaries, and expiry posture.

3. Data-room index available

Reviewer receives data-room readiness index, committee evidence map, donor submission pack, Q&A, and final checklist.

4. Share register opened

External share governance register records recipient, materials, purpose, conditions, and closeout owner.

5. Questions route defined

Reviewer questions and responses are kept inside the governed Q&A surface, not in side-channel exchanges.

6. Export posture confirmed

Committee pack, donor pack, safeguards materials, MRV lineage note, and access protocol are available where applicable.

7. Closeout date set

Access closure, renewal, escalation, or committee-submission transition is recorded before access becomes open-ended.

Ready to hand off

All core materials are present, access is scoped, reviewer questions have a route, and closeout is defined.

Conditional handoff

Materials are sufficient for initial review, but one or more conditions, access boundaries, or export artifacts remain incomplete.

Do not hand off

Reviewer purpose, access scope, personal-data boundary, or evidence/export pack is not yet sufficiently defined.
